Systems Design and Documentation Intensive

This Management Training program is designed to provide established entrepreneurs with a deep dive into the best practices in systems design and documentation from a variety of industries. It offers the depth and breadth of knowledge small business owners need to “level up” their systems and improve the consistency with which employee can duplicate desired processes and results. Owners who have limited documentation of the operational systems in their business will be walked through the process of creating a more robust and complete set of operations manuals (or other tools) for their team. Owners with an existing set of operations manuals will discover how to improve their written systems to address current performance issues and/or support in more effectively achieving business objectives.

Instructional Objectives:

The following topics will be covered:

  • Articulating your brand and culture: the key to systematizing the unique strengths and style that are the foundation for your current business success;
  • Clarifying your objectives: Understanding what you are trying to achieve;
  • Your systems SWOT: Understanding what’s working and what’s not;
  • Result of Note™ Systems Thinking: How to create systems that will stand the test of time;
  • Determining how much to involve your team in creating or updating your systems;
  • Mapping out your current systems and processes;
  • Is paper passé?: Different tools for communicating systems to your team;
  • Financial systems design and documentation best practices;
  • Human resources systems design and documentation best practices;
  • Marketing systems design and documentation best practices;
  • Customer service systems design and documentation best practices;
  • Product creation / manufacturing systems design and documentation best practices;
  • Developing your project plan: who does what by when?;
  • When are you done? How often to revisit your systems;
  • Implementing processes for updating your systems; and
  • Bright shiny objects: Weighing the benefits of new technology (when to leave well enough alone).

Measurable Learning Outcomes:

As a result of the training, participants will:

  • Possess a broad spectrum of skills and knowledge they can use to design, improve and document their business systems;
  • Identify the key gaps in their current business systems and systems documentation;
  • Outline the new systems they need to develop, improve and/or document;
  • Have greater confidence in their ability to create systems that their team will actually use;
  • Write or re-write systems for all major areas of their business; and
  • Have a plan in place to review and upgrade their systems and systems documentation on a regular basis.

Assessement Methods:

Our instructors are continuously assessing the student’s comprehension and ability to apply their learning through assignments, case studies, and interactive classroom activities that check for understanding. This is crucial in today’s fast-paced business environment as each new skill participants not only learn, but are able to apply in the workplace will have a huge positive impact on the business’s ability to thrive. Unlike structured public courses at colleges and universities that provide more general knowledge and must follow a rigid timeline, our on-site group training format allows our instructors to take the time to ensure that participants are able to take the skills and knowledge they gain in class and apply it to their unique situation to get the results they want in their work and business. We assess the student’s learning and progress using the following methods:

  • Application assignments for in between each training session to apply what was learned in their role in the business. (These assignments are sent in to the instructor in between each session so that the instructor can review them and provide further feedback if the student has not completed the assignment correctly.)
  • Interactive exercises, questions and discussion during the training sessions to ensure that the student understands how to apply the concepts in their role and/or business.
  • Student self-evaluation of their learning at the beginning and end of the program. (This is a brief 5 minute paper survey that the student takes at the beginning and end of each module to provide them with a measure of the knowledge they have gained from the training).
  • (Note: Our instructors are always available via phone and e-mail in-between training sessions should students need assistance with their assignments. This ensures that students are able to complete assignments and be fully prepared to build on their learning in the next session.)
